Background Information

At this point of the RTP Review process both the Department Chair and the DPC have SIMULTANEOUS access to the submitted materials within all assigned Interfolio cases.  You will have access to two types of performance evaluations:

  1. Full Performance Reviews
  2. Abbreviated Reviews

Full Performance Reviews:

Per UPS 210.000 for each full performance review (PY2, PY3-FR, PY4, PY5-FR, PY6, Early Tenure & Early Promotion, Promotion to Full Professor, and Early Promotion to Full Professor, etc.) the Department Chair is required to compose 2 SEPARATE documents for each faculty member under review:

  1. An evaluation statement
  2. A recommendation statement

The DPC is required to compose only the Recommendation Report.

  1. Recommendation Report

As the Department Chair, even though the DPC has the same access to the case materials as you do, you are responsible for conducting both rebuttal periods during this part of the review.  The first rebuttal period will be for the DPC's Evaluation, the DPC's Recommendation, and the Department Chair's Evaluation. The second rebuttal period is for the Department Chair's Recommendation ONLY.  

It is imperative that you and the DPC upload all required documents and that you initiate all rebuttal periods by the deadlines posted in FAR's timetables, which are approved each year by the Provost's Office.  When you do not keep to this schedule it reduces the amount of time the next review level has to review each case.

Abbreviated reviews:

For abbreviated review you as the Department Chair only need to compose a single document about each faculty member's progress towards tenure.  Make sure to point out an areas you think he or she should work on for his or her next full review.  

  1. Abbreviated Review Form 

This type of review does not have a rebuttal period nor does your completed statement have to be shared with the faculty member under review.  The FAR office will distribute all statements at the end of the review cycle. Please refer to the annual FAR timetables for deadlines.

Responsibilities for the Review Step:

  1. Login
  2. Evaluate the submitted material in each case against the appropriate DPS criteria
  3. Compose SEPARATE Evaluation & Recommendation Statements  
  4. Uploading your SEPARATE Evaluation & Recommendation Statements to the “required items” box on the “Case Details” page of each assigned case
  5. Conducting the Rebuttal Period through Interfolio
    1. Stage #1: DPC Evaluation, DPC Recommendation, & Chair Evaluation
    2. Stage #2: Chair Recommendation ONLY
  6. Informing DPC of any rebuttals filed
  7. Forwarding Case to the Dean by the deadline published in the annual RTP Timetables

Summary of RTP Review Periods

A couple of things that you will need to keep in mind when you are evaluating the submitted materials:

  1. Some faculty will have been awarded service credit when they were hired as tenure-track faculty members.
    1. If that is the case, then they will need to incorporate documentation from their previous institution as part of their RTP portfolio for CSUF.
  2. Some faculty will have been awarded probationary year extensions or will have gone on leave during their tenure-track process.
    1. If that is the case, the documentation submitted for RTP reviews might appear to be missing some academic years or include some that don't make sense based on the hire date.  

Once the packet has been declared complete, the faculty member can only add materials to a submitted RTP Portfolio through the added materials process.

Summary of RTP Recommendations

Any recommendation option marked with an asterisk (*) is a department-specific recommendation that has established criteria and definition in an approved department personnel standards (DPS) document, but is not defined anywhere else.  Any RTP Status marked with an asterisk (*) applies only to tenure-track faculty who are hired as Associate rather than Assistant Professors or have already earned the rank of Associate earlier in their RTP journey.
