Sharing Copies of Faculty Rebuttals with DPC & Department Chair

As part of the RTP Evaluation Process, one of your responsibilities as the Dean is to provide copies of any rebuttals filed by the faculty members under review during the rebuttal stage for your review step.

This responsibility is important for transparency during the evaluation and it can be done through the Interfolio platform.

The Faculty Member under review will need to complete and upload a copy of FAR RTP Rebuttal Forms within the 10-calendar day rebuttal period that you established for your completed Performance Evaluation.  

If the rebuttal period was set up correctly, Interfolio will send you a notification to your fullerton.edu inbox from California State University Fullerton from <[email protected]> when the faculty member under review uploads his or her completed rebuttal form. Once you receive that notification log into Interfolio, open the case and read what the faculty member's response was to the documentation that you shared.

Make to check if a faculty member under review requested a meeting with you on the submitted rebuttal form.  They can do this without submitting a written rebuttal statement.

To share a document with other Committees through Interfolio:

As with all actions performed in the Interfolio platform, make sure that you are signed in, have located and opened the case(s) in which you are planning to work.

Currently there is no way within the Interfolio platform to perform this action simultaneously in multiple cases.  This process will need to be performed individually in every assigned case.

Process

Click the ">" to expand the section and see the screenshots

1. Stay on the “Case Materials” page, and click the checkbox next to the rebuttal form filed in response to the Dean's Evaluation

If the title of the document does not make it immediately obvious which committee the rebuttal form is for, select the one that was uploaded most recently

2. Click “Share”, then select “With Committee members”

Remember selecting "with candidate" will start the process for initiating the rebuttal period, which is separate from this process.

3. Remove the pre-populated name from the “To” field of the message

When you click "with committee members" in the previous step the Interfolio message interface will automatically pre-populate the "To" field.  

The pre-populated name(s) are the name(s) of the review committee members who currently have access to the case at this point in the workflow.

4. Click “Committee”

Clicking "Committee" will bring up a drop down menu of all the review committees involved in this case's workflow. (Make sure to select the right one[s])

5. Select the correct committee

If you have to send anything to more than one committee in the case's workflow you will have to repeat this step for every committee that you need to contact.  

6. Click “Add Members”

Like with Step 5, if you have to send anything to more than one committee in the case's workflow you will have to repeat this step for every committee that you need to contact.  

7. Fill in Subject and Message fields

The Subject and Message fields are marked as required with a red asterisk (*).  Also the message is completely personal, input whatever you feel is necessary for your communication.

8. Click “send"

Do not enable "File Response" for this step, there is no need for it.  If the other review committees involved in this process have questions, they can contact you outside the Interfolio platform.
