Tips for Annotating in Interfolio

Introduction

For those of you who like to annotate or make notes on evaluation materials you can do so in Interfolio, while in the assigned case is in"read case" mode.

To initiate this process:

Set the Following defaults on your Computer

  • Internet browser: the most up-to-date version of Google Chrome, Firefox or Safari
  • PDF reader: Adobe Acrobat DC or Mac equivalent
Process

Once you have opened the case you are going to work in, you be redirected by default to the "Case Materials" page.  Whenever you would like to perform this process in current or future cases make sure to start there.  

1. Click the "Read Case" button

This button will redirect you to the screen below where you can read the faculty member’s submitted documents.

Within this screen there are several tools available to help you annotate within documents, search for specific terms within a document, and keep track of everything

2. Annotation Tools

For annotation there are three icons and corresponding tools to help you annotate within a document in the bottom right-hand corner of the Read Case Screen.

2.1. Note Pad Icon/Tool

The Note Pad icon allows you to make annotations in 3 different ways:

  1. Point
  2. Area
  3. Text
2.1.1. Point Tool

This tool allows you to pick a point anywhere on the document in displayed in Read Case mode to insert a comment.  This Comment functions a lot like a note bubble in Adobe or a review comment on a Word Doc.

Select the location in the document that you would like to make the point and click.  The point will be marked and a text box will appear for you to type your notes in

2.1.2. Area Tool

The 2nd tool is the Area Tool.  This tool allows you to select an area within the document you are working on, while in read case mode.  

To initiate click the notepad icon first, then click the word "Area".  

Use your mouse to draw a defined area for your annotation within the document you are viewing in Read Case mode. Click and drag to define the area, then release your mouse.  The area will be marked and a text box will appear for you to type your notes in.

2.1.3. Text Tool

The 3rd and final tool is the Text Tool.  This tool allows you select and highlight text within the document you are working on, while in read case mode.  

To initiate click the notepad icon first, then click the word "Text". (you can also select the color of your highlighter)

Use your mouse to select the text you want to highlight.   Click and drag your mouse from L to R, then release your mouse.  The text will be highlighted and a box will appear for you to input your annotation

2.2. Trashcan Icon - Annotation Deletion

Sometimes you need or want to delete notes you have made on a piece of packet material, and Interfolio allows you to do that with the Trash Icon.

To delete, click inside the textbox of the annotation you want to delete, then click the trashcan icon down in the bottom, right-hand corner of the "read case" screen

Interfolio will ask for confirmation every time you want to delete an annotation.

2.3. Eye Icon - Annotation Visibility

Need to get of comments/annotations cluttering up your screen? Want to bring up notes from a previous work session? Interfolio allows you to do that with the eye icon.

To make your annotations visible or invisible on the document you are working in, click the eye icon in the bottom right-hand corner of the screen.

Viewing your Annotations in Interfolio

All annotations made within the packet on Interfolio platform are automatically saved in the "annotations" pane on the top left of the Read Case Screen.

All of your annotations are arranged by document name, then by the date and time you created or last updated the annotation.

When you click on a specific annotation in the annotation pane, that comment is highlighted and your cursor will become active in that comment's text box.

Exporting Your Annotations

All annotations that you personally make in an Interfolio review packet can be exported out of Interfolio and into your personal document storage.

To Export your annotations click the button circled in the screenshot below.  All of your annotations will be exported into a PDF, that you can then save to your personal hard drive.
